- Answers from the service catalog, not a script“We offer three tiers of diagnostic assessment... The Essential Assessment starts at $2,500. The Advanced is $6,500. The Executive Program is $15,000 for the first year.”
- Handles a clinical question with a retrievable fact“Coronary artery calcium scoring detects calcified plaque years or even decades before it becomes symptomatic.”
- Recommends against what the caller actually described“James, based on what you're describing, the Essential Assessment would be a strong starting point.”
- Books a named slot and sets the follow-up“You're confirmed for Wednesday at 9 AM, a video consultation with Dr. Wilson, our clinical director.”
Answering is the easy part. Resolving it is the job.
An intelligent layer over everything that arrives: calls, email, web forms and text. It works out what is actually being asked, hands it to an agent that knows the answer, and finishes it. A message taken is not a problem solved.
A message taken is not a problem solved.
Most inbound does get answered eventually. What it does not get is finished. Whoever picks up can take a name and book a slot, but cannot say which alloy holds that tolerance, whether a part is still airworthy under a service bulletin, or what a package tier includes. So the enquiry becomes a note, the note becomes a callback, and the answer arrives a day later, if the person has not already gone elsewhere. The gap is not between ringing and answered. It is between answered and resolved.
The whole interaction, not the greeting
A general agent takes the interaction, then hands to the specialist agent for the subject. Each one is configured to your rules and connected to the systems you run.
Answered on any channel
Phone, email, web form and text, at any hour, in your greeting and your tone. No queue, no voicemail and no after-hours gap.
Intent before identity
The agent establishes what is actually being asked before deciding where it goes: a new enquiry, an existing job, a vendor, or something urgent.
Handoff to a specialist agent
A materials question goes to the agent built on your spec library. A scheduling question goes to the one holding your calendar. The caller notices nothing.
Answers from your technical material
Specifications, tolerances, service bulletins, warranty terms, package inclusions and lead times, answered from your own documents rather than a script.
Resolution, not a message
Booked, quoted, dispatched or answered outright. A callback is what happens when the system cannot resolve something, not the default outcome.
Escalation with the work already done
When a person genuinely is needed they receive the transcript, the record and everything the agent already established, not a name and a number.
From arrival to resolved
Every interaction runs the same four steps, on whatever channel it arrives.
Arrive
It lands on your existing number, inbox or web form, at any hour, and is picked up immediately.
Understand
The agent works out who is contacting you, what they actually need, and how urgent it is.
Route
It hands to the specialist agent for that subject, which queries the knowledge base built from your own material.
Resolve
It books, quotes, answers or dispatches, writes the record, and escalates only what genuinely needs a person.
Four real interactions, start to finish.
Scripted scenarios, recorded end to end. The words are written; the handling is what a deployed agent does. Listen for what happens after the greeting: the agent is qualifying, checking live availability, booking, and reading from a catalog rather than reciting a script.
- Captures equipment detail that changes the diagnosis“Carrier, roughly eight to nine years, that helps.”
- Runs live diagnostic branching“Is the outdoor unit running at all? Can you hear the compressor or the fan outside?”
- Narrows the fault before the technician leaves“Outdoor unit not running but the indoor blower is still pushing air. Could be the capacitor, contactor, or a breaker trip.”
- Dispatches against a real service window“I'm scheduling you for a service window between 8:30 and 9:30 PM, so within the next hour.”
- Captures the referral source by name“We appreciate the referral from Mr. Sullivan.”
- Opens with discovery, not a form field“What's prompting you to look into financial planning right now?”
- Follows the answer into scope“Is this primarily personal wealth, or do you also have business entities, trusts, or family members you'd want included in the planning?”
- Plays the engagement back before booking“Investment strategy for the liquidity event, consolidation of existing holdings, tax optimization, trust coordination.”
- Qualifies before it schedules“Before I schedule a showing, let me ask a few quick questions so I can match you with the right agent.”
- Establishes the timeline that drives everything“Relocating. I accepted a position at a company in Summit, so I need to be in the area by mid-August.”
- Confirms financing readiness“Do you have a mortgage pre-approval in place, or is that still in progress?”
- Plays requirements back and widens the search“Four bedrooms, strong school district, yard, and home office space. There are a few neighbouring towns that might also fit.”
The question a front desk cannot answer.
A buyer calls a machine shop at 4:40pm. He wants the same part made in a different metal, machined to a finer measurement than the one he was quoted on, and he needs to know what that does to the price and the delivery date.
In shop language that is a material substitution and a tolerance change. To whoever answers the phone it is simply a question nobody at the front desk can answer, so it becomes a message. An estimator calls back tomorrow, by which point the buyer has asked two other shops the same thing.
What happens instead. The agent answers, recognizes this as a question about materials and delivery rather than a request for a new quote, and hands it to the agent built on your specification library and your job history. That agent answers from your own documents, notes which drawing version the buyer is working from, and books time with an estimator only because the quantity has changed. The record is written against the job before anyone in the shop has seen it.
The same shape covers a caller asking whether a part is still approved for use after a manufacturer's service notice, someone asking exactly what is included in a clinic package, or a supplier chasing a purchase order. Different knowledge base, identical mechanics.
Engineered on CXO Axon, our own framework
Axon is the framework we engineer on, not a product you license. It gives every build the same foundations: conversational handling, live connections to the systems you run, specialist agents with their own knowledge bases, exception routing, and reporting on what the system is actually doing. What gets built on those foundations is shaped to your processes and belongs to your operation.
